      Event Manager

      Description

      We are seeking a part-time Events Manager to support the planning and execution of an event scheduled for November 18th . This individual must also be available to work the evening of the event.

      Role Overview

      We are looking for a mid-level Events Manager to work approximately 20 hours per week . This role will report to the Regional Director and oversee event logistics, project management, and administrative coordination.

      Event & Logistics Management:
      • Lead project management for all event logistics
      • Support finalization of leadership list and program details
      • Draft, review, and manage event communications and landing page content
      • Oversee invitations, tribute book, ads, donor lists, and RSVP tracking
      • Manage vendor coordination (caterers, decorators, A/V, photographers, security, etc.) and budgets
      • Develop event program layout, seating arrangements, sponsorship materials, and donor recognition
      • Coordinate décor, catering, contracts, payment schedules, and event-day run-of-show
      • Supervise volunteer recruitment, management, and acknowledgments
      • Manage pre-event communications, “Know Before You Go” emails, and post-event thank-you outreach
      • Lead on-site event management, including A/V run-throughs, guest coordination, and program flow
      • Conduct post-event wrap-up including materials return, vendor payments, and debriefs
      Development & Donor Engagement:
      • Conduct donor research and identify potential prospects
      • Support tribute committee with solicitations and relationship management
      • Track donations, pledges, and sponsorship outreach

      Communications

      • Draft event-related emails, donor communications, and speeches
      • Assist with press coordination and event-related writing needs
      Speaker Coordination:
      • Provide logistics and communication support for featured speakers, including travel and speech preparation
