Operations Administrative Assistant - Downtown Professional Services Firm - $70k - $100k + B
A well-established Professional Services firm located downtown is seeking a highly organized, detail-oriented Administrative Assistant to support the Partner of Administration.
This role blends scheduling, vendor management, subscription oversight, operational assistance, and HR coordination (liaising with the PEO). You'll also work hands-on across the firm's billing, tax, accounting, and workflow functions, and play a key role in developing efficiencies and Excel-based reporting.
Importantly, this role is seen as a stepping stone to a broader opportunity within the firm.
Responsibilities:
- Manage calendars and scheduling for internal and client-facing engagements, ensuring seamless coordination.
- Serve as a liaison with outside vendors; track costs, conduct cost analysis, and maintain key subscription relationships.
- Own and update the firm’s master Excel tracker monitoring tax return progress from inception through completion.
- Provide administrative overlap with HR, including liaison responsibilities with the firm’s PEO provider.
- Utilize CCH software to assist with billing, tax, accounting, and workflow tasks.
- Formulate and maintain Excel spreadsheets for tracking, analysis, and efficiency improvements.
- Collaborate with the Partner of Administration to identify and develop administrative process efficiencies.
Qualifications:
- Minimum of 5 years of administrative experience, preferably in a professional services setting (CPA firm experience is a plus).
- Familiarity with time billing environments and understanding of CPA firm terminology/operations.
- Proficiency in Microsoft Excel and CCH software (or similar platforms).
- Experience liaising with vendors and PEOs.
- Proven ability to manage multiple priorities and maintain a high level of organization and attention to detail.
Base Salary
$70k- $100k plus bonus, 401k (with match) and additional benefits/perks.The above salary range represents Advice's good faith and reasonable estimate of the possible base compensation range at the time of posting and is not reflective of the total compensation package, which may also include benefits, equity and other non-cash incentives.
