Document Control Specialist
Description
Document Control Specialist I - Vegetation Management (Onsite)
Full-time | 40 hours/week | Fully Onsite
We are seeking a Document Control Specialist I to support the Vegetation Management (VM) Program by managing critical documentation, reporting, and operational tracking to ensure efficient execution and compliance.
Key Responsibilities
- Create and distribute reports to VM and Supplier leadership on defined cadences, including:
- 10-day goal reporting, after-hours call-out, Fastrack scores and verbatims
- Customer tickets and Ops requests
- Circuit maintenance audits, reactive QA, customer resolution tool metrics
- Customer experience performance metrics
- Work orders exceeding 10 business days
- Conduct weekly crew tracking for VM and DCC teams
- Serve as 2nd approver on VM supplier invoices (with max amount discretion by the Director) and provide additional invoice support as needed
- Monitor work plans to ensure timely work order completion
- Update ARCOS call-out as needed and create/schedule VM planned outages
- Track and manage customer complaints and follow-up actions
- Facilitate and store Hazard Tree refusal letters
- Track computer-based training compliance
- Support supplier onboarding/offboarding processes as needed
- Order supplies and develop job aids as needed
- Perform additional jurisdictional responsibilities as required (public notices, DOT permits, customer phone line monitoring, PDF map creation, etc.)
Document Control & Information Management
- Develop and implement infrastructure to efficiently process and secure project-related documentation (vendor docs, construction documents, quality records, and vital business records)
- Create cost-effective solutions for project information management
- Coordinate and oversee assembly, reproduction, revision control, and archival submission of construction work packages, including work orders, drawings, and procedures
