Vendor Relations Specialist
Description
Role: Vendor Relationship Coordinator
Location: Vienna, VA (Hybrid)
Business Unit: Security Third Party & Representative Management
Pay Rate: $50/hr on W2
Role Overview
The Vendor Relationship Coordinator (Contracts Administrator) will support the Information Security Third Party & Vendor Management team by providing administrative, coordination, and documentation support for security-related vendor engagements. This role focuses on contract review coordination, vendor interaction, reporting, and process support rather than hands-on third-party risk assessments.
Key Responsibilities
- Provide administrative and coordination support for Information Security third-party contract reviews
- Gather, organize, and maintain information for complex vendor and contract engagements
- Track review statuses, deadlines, priority changes, and deliverables across ongoing engagements
- Maintain accurate documentation, metrics, and reports within SharePoint libraries
- Schedule, coordinate, and facilitate meetings with internal business units and external vendors
- Capture and distribute meeting minutes and action items
- Lead weekly team stand-ups and support Agile workflows
- Build and maintain strong working relationships with team members, leadership, business stakeholders, and third parties
- Stay current on Information Security best practices and industry trends to support process and policy improvements
- Develop and maintain process documentation, including procedures and job aids
- Perform additional duties as assigned by leadership
Required Qualifications
- Experience in vendor management and third-party engagement coordination
- Strong contracts and procurement background, including:
- Understanding contract terms and conditions
- Pricing and negotiation concepts
- Performance monitoring, compliance, issue resolution, and risk considerations
- Experience working with:
- Statements of Work (SOWs), NDAs, RFPs, and related contract documentation
- SharePoint and document management systems
- Azure DevOps (ADO)
- Familiarity with Agile methodologies (Kanban, epics, stories, stand-ups)
- Experience in the financial services industry
- Knowledge of Information Security concepts, processes, and methodologies
- Strong technical writing and documentation skills
- Project management experience
- Excellent organizational, planning, and multitasking skills
- Strong verbal, written, and interpersonal communication skills, including the ability to influence and negotiate
- Proven ability to work effectively with all levels of staff, including C-level executives
- Proficiency in word processing and spreadsheet tools
Nice to Have
- Experience supporting Information Security governance or vendor security processes
- Exposure to compliance-driven environments

This role is not intended for candidates focused solely on third-party risk management or GRC functions. The emphasis is on vendor coordination, contracts administration, documentation, and relationship management within an Information Security context.
